Office management for busy Auckland service businesses

You run the business. We run the office.

You’re doing two jobs: the work your customers pay for, and the office work that keeps it running. Hand KAPOW the parts you choose. Kirsten answers your calls in your business name, keeps the bookings moving, sends the invoices and follows up what’s owed.

Kirsten PowerAlready handling office work for Dynamo Plumbing and Auckland Geeks.

Kirsten Power, founder of KAPOW

Everything still comes back to you.

  • The phone goes while you’re with a customer.
  • The quote you promised on Tuesday is still in your inbox.
  • Last week’s work still isn’t invoiced.
  • The invoice from last month still hasn’t been paid.

None of it is hard. It all just waits for you, usually until the paid work is done.

Hand over the job, not just the tasks.

  1. Calls answered.Customers reach a person in your business name, Monday to Friday, 9am to 5pm, not voicemail.
  2. Bookings managed.Jobs and appointments scheduled, and customers kept in the loop.
  3. Invoices sent. When the work’s done, not when you find a spare evening.
  4. Payments followed up.Overdue invoices chased politely, in words you’ve approved.
  5. Orders placed, bills paid.Supplies ordered and suppliers paid, within limits you agree at the start.
  6. A report every evening. An email at the end of each day showing what got done and the hours used, plus a summary every week.

Kirsten handles the functions you agree to hand over, within agreed hours and limits. You keep the decisions: pricing, hiring, disputes.

Sending the invoice is one job. Following up payment is another.

Most owners are good at the first and put off the second. Kirsten follows up overdue invoices in your business name, on a fixed schedule:

  1. Day 2 overdue an email
  2. Day 4 an email and a text
  3. Day 6 an email, a text and a phone call

Anything disputed, or still unpaid after that, comes back to you to decide. You get a daily report showing who’s been contacted and who has promised to pay. It isn’t debt collection, and nobody can promise every invoice gets paid. It just stops depending on you finding the time.

Stop managing the person who’s supposed to be helping you.

Most office help still leaves you handing out jobs and checking they’re done. KAPOW works the other way round.

  1. You agree

what Kirsten’s responsible for, and what she always checks with you first.

  2. She learns

your customers, suppliers, prices and how you like things said.

  3. She handles it

week in, week out, and brings you what needs your decision. You get a report every evening and a summary every week. New jobs can go to her by email or text.

Kirsten Power
Kirsten Power Founder, KAPOW · runs the office for Dynamo Plumbing · customer and invoice follow-through for Auckland Geeks

Meet Kirsten. She’s already running someone else’s office.

When Kirsten picks up Dynamo’s phone, the customer is talking to Dynamo. When she chases an overdue invoice for Auckland Geeks, it’s Auckland Geeks’ name on the line. She has to know the business, sound like it, and know what she can promise and what to pass on.

Before KAPOW, Kirsten spent 20 years in real estate, including property management, and three years as a PA. She also has seven years of web design behind her.

That’s the trust you place in whoever runs your office. With KAPOW, it’s one named person who answers to you, backed by two trained team members.

Managed Office

An office manager, without the hire.

Kirsten runs the whole office: phones, bookings, ordering, invoicing and follow-up, reporting and project management. Before anything starts, you agree in writing:

  • what she’s responsible for, and what stays with you
  • what she can decide for you, such as bookings, orders and paying bills
  • the hours she covers

$2,400 + GST a month for up to 40 hours, with same-day response during business hours.

There’s no one to recruit, and cover on leave is already arranged.

Questions owners ask.

How much does it cost?

Office Support is $1,200 + GST a month for up to 20 hours, or $1,800 + GST for up to 30. Managed Office is $2,400 + GST a month for up to 40 hours. Extra hours are $90 + GST. There’s a one-off onboarding fee of $750 + GST.

Is there a minimum term?

Three months, so there’s time to settle in. After that you can stop with four weeks’ notice.

What hours do you work?

Monday to Friday, 9am to 5pm. After-hours work only by prior arrangement, and no weekends.

Who actually does the work?

Kirsten, personally. Two fully trained team members cover on Wednesdays and when she’s away, so your office keeps running. Kirsten stays accountable for all of it.

Will my customers know it isn’t me?

They’ll speak to someone answering as your business who knows your work, just as Dynamo’s and Auckland Geeks’ customers do.

Do you chase unpaid invoices?

Yes, politely and in your business name, by email at 2 days overdue, email and text at 4 days, and email, text and a phone call at 6 days. It isn’t debt collection: Kirsten won’t threaten, add fees or take legal action, and disputes come back to you.

How will I know what’s been done?

You get an email at the end of every day showing the work done and the hours used, and a summary every week. Send Kirsten new jobs by email or text.

What don’t you do?

Physical reception, 24/7 phone answering, accounting advice, legal debt collection, and work that needs a specialist qualification.

How long does it take to start?

It depends on how complex your business is and when you’re free for the handover. Kirsten needs some of your time to learn how the business runs, plus access to your systems. You keep ownership of every account.

Do you work with my software?
